CANADIAN BUSINESS GUIDE · Updated September 9, 2026

Customer won’t pay an invoice? Start here.

You have done the work. The payment is overdue. Before selling the debt or hiring a lawyer, check the balance, find out why it is unpaid and offer a clear way forward.

The short answer

For an agreed invoice and a customer willing to talk, a respectful reminder or voluntary payment plan is a practical first step. RemitRight handles AI text follow-up and offers 3- or 5-month Stripe plans, with no business subscription or setup fee. Disputed debts and legal deadlines need a different response.

Try it with one overdue invoice

Stripe processing applies. Customer plan fees are disclosed before checkout. Recovery is not guaranteed.

Five steps for a past-due account

  1. 1. Check what is actually outstanding

Confirm the agreed price, due date, completed work and any deposits, credits or payments. Keep the invoice, agreement and delivery evidence together. Send a corrected invoice if the amount or billing contact is wrong.

  2. 2. Ask what is holding up payment

A missing invoice, a dispute and a cash-flow problem need different responses. Ask one clear question, include the invoice details and give the customer a way to reply. Avoid assuming they are deliberately refusing.

  3. 3. Offer a practical next step

If the balance is agreed but paying it all now is difficult, discuss an affordable arrangement. With RemitRight, the customer can choose full payment or the available 3- or 5-month plan. They see the fee and authorize checkout before a plan starts.

  4. 4. Track payment, not just promises

Keep written records of replies and actual payments. A promise or accepted plan does not mean the invoice is paid. Review failed payments, disputes and requests for different terms with the owner.

  5. 5. Escalate when the situation needs it

If the customer disputes the work, has become insolvent or continues refusing payment, consider professional advice. Check the relevant provincial process and deadlines early; automated reminders do not preserve a claim or construction lien.

BDC also recommends reviewing billing processes, listening to customers and considering installments. Read BDC’s guidance.

Match the response to the problem

“I never received it”

Resend the invoice and confirm the billing contact.

Correct the record before another reminder.

“I cannot pay everything today”

Offer a clearly priced payment plan.

A possible fit for RemitRight if the balance is agreed.

“The work was not completed”

Ask for specifics and review the evidence.

Pause automation for owner review.

“I already paid”

Reconcile the payment reference and bank records.

Avoid collecting the same amount twice.

No reply, disputed ownership or an approaching deadline

Review the file and get appropriate professional advice.

RemitRight does not provide legal enforcement.

A reminder you can adapt today

Replace the placeholders and confirm the amount before sending. This is an example, not an actual customer conversation.

Hi [name], this is [your name] from [business]. Invoice [number] for [work], due [date], has an outstanding balance of [amount]. Could you confirm you received it and let me know if anything is holding up payment? If paying in full is difficult, we can discuss the available payment-plan options. If you have already paid, please send the payment reference so I can check. Thank you.

Use an appropriate contact basis and respect opt-outs. See CRTC guidance for commercial electronic messages. Do not add threats, invented deadlines or fees that have not been agreed.

What happens to a $1,200 overdue invoice?

Illustrative CAD amounts, before Stripe processing. The plan fee is applied once across the plan, not every month.

$1,200 once

$0 RemitRight plan fee

3 monthly payments

$412 per payment

$1,236 total · $36 plan fee

5 monthly payments

The first installment is collected at checkout; the others are scheduled monthly. Payments go through your connected Stripe account, with payout timing and processing costs determined by Stripe. RemitRight does not pay you the invoice upfront.

When to get help beyond reminders

Use the correct provincial process for the claim. For example, Ontario’s Small Claims Court covers eligible claims up to $50,000. Other provinces have different procedures. Construction liens, insolvency and disputed work can require prompt professional advice. Do not wait through a payment-plan offer if a legal deadline may be approaching.

Common questions

Can I collect an unpaid invoice without selling the debt?

Yes. RemitRight helps your business follow up on its own invoice and offer voluntary payment plans. You do not sell the receivable to RemitRight. Other collection arrangements vary, so check their contracts rather than assuming every agency buys debt.

Do I need a lawyer to use RemitRight?

No lawyer is required to use the software. A lawyer or other qualified professional may still be appropriate for a disputed debt, court action, insolvency or a time-sensitive claim.

Is RemitRight free for Canadian businesses?

There is no RemitRight business subscription or setup fee. Stripe payment processing applies. Customers choosing installments pay a 3% plan fee over 3 months or 5% over 5 months; full payment has no RemitRight plan fee.

Does a payment plan guarantee I will get paid?

No. The customer must authorize the plan and each payment must succeed. RemitRight does not advance funds, buy the invoice or insure against non-payment.

Can I add another invoice for an existing customer?

Yes. Add it from the customer profile to reuse their contact details and see the invoice history. Each invoice remains separate from existing payment plans.

Give your customer a way to say yes.

Start with one invoice. Review its details, connect Stripe and let Remi help with the follow-up. No debt sale and no RemitRight subscription.
